Menlo School Operation Services Planner in Atherton, California

The Operation Services Planner ensures that the department maintains a clearly defined daily schedule of events and tasks. As such, the position receives inputs via email, phone, verbal conversations, and our computerized maintenance management system (CMMS) to establish a list of “to dos” that are prioritized and communicated to the Facilities team via written work orders and a continuously updated daily calendar of deliverables that is prominently displayed on our department’s schedule board. It is our top priority to deliver excellent service in the planning, set-up and facilities execution of events, athletic practices and competitions, work orders and routine and non-routine maintenance activities and the Operations Service Planner keeps our facilities department well informed of everything that must be done each day.

This is a non-exempt position and reports to Operations management.

Primary Responsibilities:

Responsibilities include but are not limited to:

  • Serves as the department’s point of contact to initiate work requests, assign work to personnel, and monitor completion of work orders.

  • Organizes and communicates all information concerning the department’s daily workflow.

  • Plans accordingly to ensure the efficient, timely, and sufficiently balanced scheduling of the work.

  • Effecti​​vely communicates with those requesting and benefiting from the services of the department.

  • Maintains accurate and well-organized records documenting all work performed.

  • Ensures that the department is continually evolving and learning by evaluating what we do especially well and where we could have performed better.

  • Keeps a detailed record of events, as many events reoccur and can often be incrementally improved.

  • Assists with the coordination of outside contractors and vendors.

  • Provide back-up support for delivering mail and packages and restocking office supplies.

  • Assist with all tasks of the Facilities department as needed.

    Requirements:

  • The position requires someone who is extremely well organized, and detail oriented.

  • The position requires excellent customer and team collaboration skills including the ability to listen, ask pertinent questions, and take excellent notes.

  • It’s imperative that the individual in this role has an inherent “can do” attitude.

  • This position requires the ability to plan well in advance and lay out an achievable schedule.

  • Willingness to support Menlo and the department by performing other duties as assigned in recognition that we all are mutually responsible for the team’s success.

    Qualifications:

  • Minimum HS diploma, Associate’s or Bachelor's Degree preferred.

  • Demonstrated experience with planning, scheduling, and maintaining a calendar.

  • Excellent communication skills in English (written and verbal) and an ability to interact with a wide range of internal and external stakeholders, and ability to read and interpret documents written in English such as work requests, repair requests and event setup agreements.

  • Strong organizational skills, attention to detail, and demonstrated ability to manage multiple projects simultaneously and adapt to changing priorities.

  • Ability to speak effectively and empathetically with employees and individuals in a professional manner.

  • Event planning experience is preferred.

  • Experience using scheduling software including a Computerized Maintenance Management System is preferred.

  • Strong working knowledge of Microsoft and Google Office-based computer applications.

    Physical Abilities:

  • Requires the ability to sit, stand and walk for extended periods of time.

  • Requires the ability to lift up to 25 lbs.

  • Requires the ability to regularly use a step ladder to access the top of the work order board (2 - 2.5 ft).

  • Requires the ability to work outdoors occasionally in hot and cool environments depending on the season.

    Pay range:

    In the spirit of pay transparency we share the base salary range for this position for the 2024-2025 academic year. The full pay range, which encompasses all experience levels is $75,000 - $100,000. Within this broad range, we pay in accordance with what could be reasonably expected based on an individual's experience level. Base salary is exclusive of fringe benefits, retirement plan employer contributions or potential stipends (for eligible employees). Pay ranges at Menlo are reasonable estimates of what the School anticipates paying for a role but are not guaranteed. If hired at Menlo School, your final base salary will be determined by factors such as skills, education, experience, job level, part-time status and number of months of work per academic year. In addition to those factors, we believe in the importance of pay equity and consider internal equity with our current employees as a part of any final offer. Please keep in mind that the generous range mentioned above is the full base salary range for the role. Hiring at the maximum of the range is not typical for Menlo School in order to allow for future and continued salary growth.
